There is always a possibility of errors in freight invoices generated by the carriers or their agents. It is a common lapse that bills once paid will not be re-checked for errors, especially when large volumes of business are involved.

At the same time, it is not always possible for the shipper to track the various changes effected on their contract freight costs, either on account of the sheer volume of bills being processed, or due to staffing limitations.

Freight Auditing Services

VeeMove provides you with the back-office expertise you require for auditing the bills with the contracts covered for the movements. Our experts have vast knowledge in the international shipping trade and related contract management, and the auditing process is carried out using our in-house developed freight auditing software.

Any cases of overcharge and errors will be reported back with full details of the shipments, in order to enable the client to claim refunds with the concerned carriers directly.

At Vee, our experienced team will ensure that the freight invoices are examined for any such inaccuracies vis-à-vis the agreements with carriers, at the same time giving our clients a considerable cost advantage.

Generally the audit can be undertaken for the previous three years of shipments, to enable the client to claim for eligible refunds from the respective carriers. However, this is subject to the local regulations on claims processing by the carriers.

Ocean Freight Auditing Process at VeeMove

The freight audit process at VeeMove adheres to a sequence of definite steps which include:

VeeMove receives the freighted bills of lading and ocean transport contracts from the client. The documents are for the period of shipments to be audited.
The contracts are then segregated carrier-wise, in chronological order.
Our experts study the contracts minutely for details such as the terms and conditions, rate revisions, special rates, bullet rates, etc.
The ocean bills of lading audit is conducted from the start of the contract period, progressing with revisions/additions for the tenure of the contract.
The auditing process is carried out using our advanced, in-house developed freight auditing software.
Rates are verified against contract levels for the commodity, port-of-loading and discharge points, relevant surcharges, and additional costs subject to VATOS.
Errors, overcharges and all other details are recorded in an Excel spreadsheet report
The report is sent to the client on a daily basis to enable them to directly file claims with the carriers for refund.
