Introduction : OCEAN FREIGHT AUDIT

Recently, we have added the niche business area of Ocean Freight Auditing to our services in order to cater to global clients, who find it advantageous to conduct a specialized ocean freight audit. The audit helps to verify that correct freight rates were billed / paid in line with the Contracts agreed with choice of Ocean Carriers to cover imports from worldwide sources, and thus ensuring that the errors in payment are minimized by our client.

REQUIREMENT FOR FREIGHT AUDIT

The contracts entered with the ocean carriers have various costing factors like origin pick-up charges, a Base Rate subject to various Surcharges like Bunker Surcharge, Currency Adjustment Factor, Special Equipment (Hi-cube, Open top, Flat Rack) Surcharge, Out-port Arbitraries, Hazardous Surcharge and other surcharges implemented from time to time by the carriers like War Risk Surcharge, Peak Season Surcharge etc. Due to the huge volumes of traffic, there is always the possibility of errors in freight invoices generated by the Carriers or their Agents. At the same time, it is not always possible for the shipper to keep a close follow-up and tracking of the various changes effected on their contract freight costs, either on account of the sheer volume of bills being processed, or due to staffing limitations.

It is in this perspective that Vee's specialized services will be useful to the client, wherein our experts with vast domain knowledge in the international shipping trade and related Contract management will provide you the back-office expertise in auditing the bills with the contracts covered for the movements. Any cases of overcharge and errors will be reported back with full details of the shipments, in order to enable the client to claim refunds with the concerned carrier/s directly.

It is a common lapse that bills once paid will not be re-checked for errors, especially when huge volumes of business are involved. The errors might go unnoticed even by the most diligent scrutiny, due to various situations like work load, personnel change, revisions to the contract terms etc. At Vee, our experienced team will ensure that the Freight Invoices are scrutinized for any such errors vis-à-vis the Agreements with Carrier/s; and also at a considerable cost advantage to the client as well.

AUDIT PROSPECTS

Depending on the local regulations on claims processing by the Carriers, generally the audit can be undertaken for the previous three years of shipments, to enable the client to claim for eligible refunds from the respective Carriers.
